In this category the entry plan exists to be outgrown. Price the tier you will actually need.
Helpdesk vendors market the product at the top of the ladder and price the product at the bottom. That is not dishonest, but it does mean the demo you watched and the plan you costed are rarely the same thing — the routing, the AI and the reporting that made the demo compelling usually start two tiers up.
So the useful exercise is inverted. Instead of asking what the entry tier costs, list the three things that made you look for a helpdesk at all, find the cheapest tier at each vendor that includes all three, and compare those. The order often changes.
The category default, and the entry tier is email and ticketing only. Everything people actually buy Zendesk for sits higher up the ladder, so costing it at the Support Team price will understate what you end up paying. Right when your volume genuinely needs routing and a help centre.

The per-agent price is what everyone compares and the channel list is what actually decides. A one-channel tool at a low seat price is excellent value until a customer messages you on WhatsApp, at which point it is a migration. Write down every route a customer can reach you today, plus the one you expect to add, and disqualify on that first.
Then check the annual commitment. Most of the discounts in this category assume a year, which is a long time to be locked into a tool you have not yet run under real load.
When two people answer the same message, when something falls through because nobody owned it, or when you cannot answer ‘how long are we taking to reply’. Before that, a helpdesk mostly adds process.
It depends on how much of your volume is genuinely repetitive. If your top ten questions are most of your tickets, deflection pays quickly; if every ticket is different, you are buying a feature that has nothing to work with.
Tickets export, macros and workflows do not, and your team has to relearn a tool they use all day. Treat the choice as a two-to-three year one rather than an annual review.
